The purpose of this Privacy Policy is to inform you on what information we collect, how we collect it as well as the choices that you have. Please read this Privacy Policy before downloading our mobile application.
By downloading and using our mobile application you are acknowledging that you have read, understand, and consent to all the terms of this Privacy Policy and the Terms of Use. While we maintain a website, the full Co-Elite service is only available through our mobile application. As our services change, the Privacy Policy may be subject to change as well so check back for occasional updates.
Information collected from you is highly dependent on how you use and interact with our service. Information is collected in a number of ways including how you browse the service, information you provide, content that you share as well as automatically provided information. If you do not provide us with enough information, Co-Elite may not be able to offer you with some or all of our services.
We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.
Like many businesses, we also collect information through cookies and similar technologies.
To provide you with a tailored recruiting experience and improve our Services, we collect specific behavioural data regarding how you interact with the app. This includes:
Search and Filter Preferences. The specific criteria you use when searching for athletes or schools (e.g., sports, graduation years, locations, positions, academic interests) and the number of results returned, to help us refine search accuracy and identify popular filter combinations.
Profile Interaction Patterns. Records of when you view other users' profiles, collect user cards, or initiate conversations, including the roles of both parties involved (e.g., coach viewing athlete profile). This data enables our recruiting intelligence features and helps improve our matchmaking algorithms.
Profile Management Activity. Which fields you choose to update on your profile (such as bio, height, stats, or account tier changes between student and athlete status) to help us prioritize new features and streamline the editing experience. We record which fields were modified, not the actual values entered.
App Navigation Paths. The routes you take to discover schools, associations, or other content (e.g., Sport → League → School progression) to understand trending programs and optimize content discovery.
AI Tool Usage. When you use our AI-assisted features, we collect data tied to your account including the input method used (typed text vs. suggested topics), the topic category selected, success or failure status, and computational resources (tokens) consumed. This data is used to monitor system performance, manage API costs, and ensure content moderation filters function correctly.
This behavioural data is primarily collected to maintain and improve the functionality of our Services, provide recruiting insights to users, ensure platform safety, and develop new features based on actual usage patterns.
The information we collect includes:
Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and which we record in log files. Depending on how you interact with us, this log data may include your IP address, device information, browser type, and settings and information about your activity in the Services (such as the date/time stamps associated with your usage, pages and files viewed, searches, and other actions you take such as which features you use), device event information (such as system activity, error reports (sometimes called "crash dumps"), and hardware settings).
Device Data. We collect device data such as information about your computer, phone, tablet, or other device you use to access the Services. Depending on the device used, this device data may include information such as your IP address (or proxy server), device and application identification numbers, location, browser type, hardware model, Internet service provider and/or mobile carrier, operating system, and system configuration information.
If you use our application(s), we also may collect the following information if you choose to provide us with access or permission:
Mobile Device Access. We may request access or permission to certain features from your mobile device, including your mobile device's calendar, camera, social media accounts, storage, reminders, and other features. If you wish to change our access or permissions, you may do so in your device's settings.
Mobile Device Data. We automatically collect device information (such as your mobile device ID, model, and manufacturer), operating system, version information and system configuration information, device and application identification numbers, browser type and version, hardware model Internet service provider and/or mobile carrier, and Internet Protocol (IP) address (or proxy server). If you are using our application(s), we may also collect information about the phone network associated with your mobile device, your mobile device's operating system or platform, the type of mobile device you use, your mobile device's unique device ID, and information about the features of our application(s) you accessed.
Push Notifications. We may request to send you push notifications regarding your account or certain features of the application(s). If you wish to opt out from receiving these types of communications, you may turn them off in your device's settings.
This information is primarily needed to maintain the security and operation of our application(s), for troubleshooting, and for our internal analytics and reporting purposes.
When you begin the account creation process, we generate an anonymous session identifier to track your progress through the registration steps. We collect:
Session Progress Data. The account type path you selected (student, athlete, or coach), which registration steps you viewed, and the time spent on each step.
Registration Funnel Analytics. This data helps us identify confusing screens, technical errors, or drop-off points during signup to ensure a smooth onboarding experience.
Session-to-Account Linking. Upon successful account creation, we securely link your anonymous session ID to your newly created authenticated account. This allows us to verify successful registration, analyze the efficiency of our onboarding process, and attribute your pre-registration activity to your account for a complete understanding of your user journey.
This session tracking occurs before you have an account with us and uses only an anonymous identifier until you complete registration.
Co-Elite is currently 100% free to use. We do not collect payment information or charge for any services at this time. If we decide to add premium or paid features in the future, we will update this Privacy Policy to reflect any changes in our data collection practices.

Our app includes educational pages about organizations and institutions. These pages are created by our team using publicly available resources and are not user accounts. Users cannot create or manage these educational pages.
Scholarship Programs Data Collection
In connection with our scholarship programs, including the Rising Stars Athlete Award and the Future Builders Athlete Scholarship, we collect additional information from scholarship applicants. This collection is necessary for the administration, evaluation, and fulfillment of the scholarship programs.

Special Considerations for Minors: For scholarship applicants under the age of 18, we require explicit parental or guardian consent for participation in the scholarship program and collection of personal information. Scholarship Data Retention:
Verification and Contact: We may contact applicants, their schools, coaches, or other relevant parties to verify information provided in scholarship applications if selected as finalists. This verification process helps ensure the integrity of our scholarship program.
Third-Party Service Provider: We use ScholarTree as our third-party service provider to process scholarship applications for our scholarship programs. ScholarTree collects and stores the initial application data on our behalf, but we manage the evaluation process and scholarship disbursement ourselves. All personal information collected through scholarship applications is shared with ScholarTree for application processing purposes. ScholarTree is contractually obligated to keep your information confidential and secure, and to use it only for scholarship application processing purposes.
Sponsored Scholarship Programs: For sponsored scholarship programs, such as the Future Builders Athlete Scholarship sponsored by World Wide Websites, we handle all aspects of administration, evaluation, and promotion. We do not share any personal information of applicants or recipients with sponsors. We may share anonymized, aggregated scholarship statistics (such as total number of applications, geographical distribution, or sports represented) with sponsors for reporting purposes only.
Third-Party Sharing for Scholarship Administration: Scholarship recipient information may be shared with the recipient's chosen Canadian post-secondary institution for the purpose of disbursing scholarship funds directly to the institution. This sharing is facilitated through ScholarTree and is limited to information necessary for fund disbursement and verification of enrollment.
We utilize your information, including personal data, for the following purposes:
Providing Support and Services: This includes delivering our Services, communicating with you about your access and use of them, responding to your inquiries, troubleshooting, and offering technical support, as well as other user service and support functions.
Analyzing and Improving Services and Operations: We aim to better understand how users engage with our Services, evaluate and enhance our offerings and operations, and develop new Services. This includes analyzing behavioural metrics such as profile viewing patterns, search filter usage, content discovery paths, profile update frequency, conversation initiation rates, and AI feature adoption. We may also conduct surveys and other evaluations, such as user satisfaction surveys, along with other research and analytical activities to inform product development and feature prioritization.
Personalizing Content and Experiences: We tailor content displayed on our Site and App and within our Services, offering location customization and personalized assistance, and enhancing your overall experience.
Advertising, Marketing, and Promotional Purposes: We reach out to you with relevant advertisements, assess and improve our ad campaigns, send newsletters or offers we think may interest you, inform you about our Services, and manage promotions.
Securing and Protecting Our Business: We work to safeguard our operations, assets, Services, and information technology resources. This includes investigating and taking action against fraud, unauthorized access, threats to safety, or any other misconduct.
Defending Our Legal Rights: We manage and respond to actual and potential legal disputes and claims, as well as establish, defend, or protect our rights or interests, particularly in the context of anticipated or ongoing litigation.
Auditing, Reporting, Corporate Governance, and Internal Operations: This involves financial, tax, and accounting audits; assessments of our privacy, security, and financial controls; compliance with legal obligations; and any actual or contemplated mergers, acquisitions, asset sales, or business restructuring.
Complying with Legal Obligations: We ensure compliance with laws and legal processes, including responding to warrants, subpoenas, court orders, and regulatory or law enforcement requests.
A core feature of our platform is facilitating connections between athletes, coaches, and educational institutions. To provide recruiting intelligence and enable our networking features, we record when you interact with another user's profile or content. This includes:
Profile Views: Logging when you view another user's profile, including your role (coach, athlete, student) and how you discovered that profile (e.g., through search, explore features, or referrals from other profiles).
Card Collections: Recording when you collect another user's card to enable our "My Collection" feature, help coaches organize recruiting lists, and potentially notify athletes when they are shortlisted by coaches.
Conversation Initiation: Tracking when you start a conversation with another user, including both parties' roles, message type, and initial message length to ensure our messaging system functions properly, monitor for platform safety, and understand successful connection patterns.
We may use this interaction data to:
- Provide insights to users (e.g., notifying an athlete that a coach has viewed their profile or collected their card)
- Improve our matchmaking algorithms and recommendation systems
- Identify popular profiles and trending discovery patterns
- Ensure platform safety and detect inappropriate behaviour
For users under 18, we do not share this interaction data with third parties for marketing purposes, and we use it strictly for the core recruiting functionality of the platform and safety monitoring.
We and our third-party service providers use cookies, web beacons, local storage objects, pixels, session replay/screen capture, and other similar technologies to collect Technical Data as outlined in Section 1 above. We may combine this data with other personal information we collect from you (and our third-party providers may do so on our behalf).
Disabling Cookies: Most web browsers automatically accept cookies, but you can adjust your browser settings to block them if you prefer. The Help section of most browsers will guide you on how to prevent your computer from accepting new cookies, notify you when you receive a new cookie, or disable cookies entirely. Visitors to our Site and Services who disable cookies will still be able to browse certain areas, but some features may not function properly.
Third-Party Analytics: We use automated tools and applications, such as Google Analytics, to assess the usage of our Site and, where permitted, our App. We may also utilize other analytical methods to evaluate our Services. These tools help us enhance the performance of our Services and improve user experiences. These entities may use cookies and other tracking technologies, like web beacons or local storage objects (LSOs), to provide their services. Do-Not-Track: Currently, our systems do not respond to browser "do-not-track" requests. However, you can disable certain tracking as described in this section (e.g., by disabling cookies) and opt out of targeted advertising by following the instructions in the Third-Party Ad Network section below.
Third-Party Advertising: Currently, Co-Elite does not display advertisements within our application, and we have not partnered with any third-party ad networks. Should this change in the future, we will update this Privacy Policy accordingly.

We do not sell your personal information to third parties. For users under the age of 18, we do not share their personal information with third parties for marketing purposes.
Our app includes AI-assisted features that allow you to generate content, ask questions about schools, and receive personalized suggestions. When you use these features:
Data Collection: We collect detailed usage data tied to your account, including the input method used (suggested topics vs. free-text entry), the specific topic category selected, prompt success or failure status, content moderation flags, and computational resources (API tokens) consumed during processing.
Third-Party Search Integration: When you ask questions about schools, your queries may be sent to third-party search engines, such as Bing or SerpAPI, to retrieve relevant information. These third parties may collect and use your search queries in accordance with their own privacy policies.
Data Retention: We store AI interaction data connected to your user account for a period of 24 hours to improve service functionality. After this period, while the direct connection to your user account is removed, we retain de-identified query and usage data to improve our AI model, refine suggestions, monitor system costs, and enhance service quality. These stored records are eventually removed as we improve our service.
Purpose: This data collection is used exclusively to monitor system performance, manage API costs, refine our AI suggestion algorithms, and ensure content moderation filters are functioning correctly to maintain a safe environment.

We have taken reasonable measures to safeguard the information we collect from loss, misuse, and unauthorized access, disclosure, alteration, and destruction. However, please understand that no data security measures can provide absolute security.
To help protect against unauthorized access to your password, phone, and computer, consider signing out after using a shared device, choosing a strong password that is difficult for others to guess, and keeping your login details confidential. We cannot be held responsible for any lost, stolen, or compromised passwords or for any activity on your account resulting from unauthorized password use.
You can change your personal information by logging into your account and updating your profile. Please keep in mind that copies of any information you've updated, modified, or deleted may still be accessible to users of our Services and the public in cached or archived pages of the Site or Application for some time.
If you would at any time like to review or change the information in your account or terminate your account, you can:
Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.
Data Retention After Account Deletion: When you delete your account, your personal profile information and identifiable data are removed from our active databases. However, we may retain de-identified or aggregated behavioural metrics (such as the total duration you held an account, your former account role, and anonymized usage statistics) for internal analytical purposes, including calculating overall user retention rates, identifying service improvement opportunities, and understanding platform usage trends. This retained data can no longer be linked to your identity or used to identify you personally.
Users Under 13: Our services are not intended for users under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13 without verifiable parental consent, we will take steps to delete that information from our systems. Users under 13 are not permitted to create accounts.
Users Aged 13–17: For users between the ages of 13 and 17 who create athlete accounts, we collect only the personal information necessary for the recruitment process, as listed above. We do not share their personal information with third parties for marketing purposes. Where required by law, we may seek parental consent for certain activities.
Behavioural Tracking and Minors: We recognize the unique privacy needs of our younger athletes. Behavioural data collected from users under the age of 18 (such as tracking profile views, search filters, card collections, or conversation patterns) is used strictly for internal app functionality, safety monitoring, and providing the core recruiting services of the platform. We do not use behavioural tracking data from minors to serve targeted third-party advertisements. Where required by law, we may seek parental consent for certain data collection or processing activities involving users under 18.
We may send you promotional emails from time to time. You can opt out of these emails by following the instructions provided in the email. Please be aware that it may take up to 10 business days to process your opt-out request. Even if you choose to opt out of promotional emails, you may still receive emails regarding your account, the Services, or any other services you have requested or received from us.
Our Site and Services may include links to third-party websites. Accessing and using these linked sites is not regulated by this Privacy Policy but rather by the privacy policies of the respective third-party websites. We are not liable for the information practices of these external sites.
If you reside in California, you have the right to: (i) request the deletion of your personal information that we collected; (ii) opt-out of the sale of your personal information, to the extent a business actually sells your personal information; (iii) request that we disclose information about our collection and use of your personal information over the past 12 months including the specific pieces and categories of personal information we collected, what personal information we collect, use, disclose, or sell about you, the categories of sources of the personal information we collected about you, our business purpose for collecting the personal information, and for each category of personal information, the categories of third parties to whom the personal information was disclosed; and (iv) be free from discriminatory adverse treatment for exercising these rights.
Please note that these rights are subject to certain exceptions under applicable law. In order to protect your privacy and verify your request, we may require additional information from you.

Instructions: You or your authorized agent can submit your request by sending us a message or initiating a chat with us through your account, by emailing us at the information below, or by calling us at 888-908-7124 (toll free). Account holders who log in may also submit verified requests through their account profile. In general, we will verify your request and your identity when you log-in to your account or provide your name, email address, or other profile information so that we may match it to information that we maintain about you. We may need to collect information from the requesting party to verify their identity or their status as an authorized agent, as the case may be, and may use a two-step process to confirm requests to delete. We will confirm receipt of your request within 10 days and will respond in full within 45 days (subject to an additional 45-day extension in certain circumstances). We are only obligated to respond to a request to know twice within a 12-month period. Information We Collect and Disclose: We have collected and use the categories of personal information from California residents within the last twelve (12) months as set forth in Section 1 for our business or commercial purposes described in Section 2. Section 3 describes the categories of third parties with whom we share your personal information. We do not disclose or sell personal information to third-parties for their "business purposes" or "commercial purposes" as such terms are defined in the CCPA, nor do we offer financial incentives associated with our collection, use, or disclosure of your personal information. Shine the Light: California residents may request certain information regarding our disclosure of personally identifiable information about you to third parties' for their own direct marketing purposes. However, we do not currently disclose PII to third parties for their direct marketing purposes.
d.) California Minors' Rights: California residents under the age of 18 may submit a request to remove any content or information the resident has posted to the Services. The removal request only ensures any content or information posted by a California resident under 18 will not be publicly accessible. Such requests do not ensure complete or comprehensive destruction of the content or information from the Services or from our servers.
